The company dashboard opens with grouped cards of the numbers that matter — projects running, crew out, kit on the road, travel coming up, money submitted this month — sized so nothing is squashed, with crew, equipment, travel and finance each a click away on their own tab.

Projects open on an Overview tab showing project length, crew booked, crew days, unfilled roles, bookings awaiting confirmation, travel legs, equipment out and upcoming meetings. Every counter is clickable and jumps straight to the tab behind it, with recent Teams channel posts underneath.

Customers hold a reusable library of site addresses with map pins and photos, named contacts, and — for cruise lines — their vessels. Land-based customers hide the vessel sections automatically, and each customer page lists their active, past and future projects with dates and status.

Browse and search Zigaflow from the Customers page, pick exactly which addresses and contact cards to bring across, then edit before saving. Customers already imported are greyed out and marked, so the same company never lands twice, and an existing customer can be linked to its CRM record instead.

Break a job into colour-coded phases (load-in, install, commissioning, sea trials, load-out) that drive the timeline and crew requirements. Optional automation moves a project from Planned to Active on its start date and to Completed once the end date passes, so the dashboard never goes stale.

Set the roles a project needs, then fill them with bookings that can span multiple separate date ranges per person, with optional start and end times. Clashes with other projects or absence are flagged instantly, and days are counted inclusively and totalled by labour type.

Each crew booking can be costed as a day rate or a fixed total, in your chosen currency, with notes, and approved expenses land here automatically. Everything rolls up into a Project costs tab — visible to admins and planners only — showing cost per person, per role and per project.

Build your own forms for projects, crew and equipment using sections, dividers, dropdowns, checkboxes, signatures and auto-filled fields. Trigger them on book out, book in or on a repeating period, and export any completed submission as a PDF for the customer or your records.

Every project sits in a single sortable table — number, customer, ship, dates, status and crew at a glance. Search, status and the date range live together in one slim toolbar, with the period chosen from a single menu rather than a row of buttons, and the result count always on the right.

Find projects by name, ship, project number, cruise line, location or customer. Detail pages open read-only with an explicit Edit mode, an unsaved-changes prompt when you navigate away, and automatic internal project numbering.

Every project plotted on one map with satellite, terrain and road views, consistent pins and a status filter — active only by default, planned projects a click away. Click a pin for the project card and jump straight into the record.

Vessels stream their live AIS position, speed over ground, heading and navigational status (under way, at anchor, moored). A signal icon next to the ship name greys out when the last sighting is stale, so you always know how much to trust the position.

Current port, declared destination and expected arrival appear on the map and on project cards, with stale voyage data suppressed rather than shown as fact — so you know whether a ship is alongside, steaming or drifting.

Each vessel shows the local time at its current coordinates, derived from its position rather than its home port, so you never call a ship at 3am again.

Day, week and month zoom levels up to 8x with clear date separators and drag-and-drop bookings that snap to the day you're over. Bars are coloured by project status so planned, active and completed work read apart at a glance, today is marked with a slim amber rule down the chart, and clicking any bar opens the project in a pop-up without losing your place.

Search, filters, zoom and the period all sit in a single row above the chart, with the date range picked from one menu instead of a dozen pills. It wraps neatly on a laptop and stays usable on a phone.

Save the search, filters, zoom level and time range you use most as a named view — on the dashboard and on the company timeline — then switch between them in a click, rename or delete them, and set one as the view you always land on. Your zoom and side-panel layout are remembered between visits too.

One timeline across every project and resource — crew, vehicles and equipment side by side — with plane icons on travel days, absence shaded in, and unfilled requirements highlighted so gaps are obvious weeks ahead.

Roles, skills, contract type (employed or freelance), home base, contact details, photo, emergency contact, dietary and medical notes, passport details with expiry, and unavailable dates — all on one card with sensitive fields restricted by role.

Preferred departure airports with searchable multi-select, nationality, place and date of birth for ticketing, and multiple frequent flyer numbers picked from a list of worldwide loyalty programmes.

Every journey a resource has been booked on, filterable by project and sortable by date, with clickable travel-type icons that open the underlying booking.

Import crew from CSV or Excel with column mapping, bulk set active or inactive, and bulk delete. Removed resources are archived rather than destroyed, so historic bookings and costs stay intact.

Search your Microsoft tenant when adding a resource and pull the person straight in — name, email, job title and phone — instead of typing it out, and link them to their app account from the resource card.

First login walks a new user through their profile, their BrightHR calendar link, their Microsoft 365 calendar connection and which crew resource is theirs — so their bookings appear in their own diary from day one.

Admin, planner, travel manager, equipment manager and crew roles, each seeing only what they need. Sign-up requests queue for admin approval with email and in-app alerts, and SAML single sign-on with your Microsoft tenant auto-approves your own domains.

Plan who shares a cabin and who has a single, straight from the project's crew view. Add a cabin as a single, twin, triple or quad before the line confirms its number and fill the number in later, see at a glance who still needs allocating, and get a warning the moment a cabin is over its capacity.

Send the ship exactly what it asks for: everyone on the project with passport number, issuing country and dates, date and place of birth, nationality, role, cabin number and who they are sharing with — in one export. Only admins, planners and travel managers can see or send it.

Passport expiry warnings for the individual and for planners on a window you choose, plus custom recurring reminders against any resource with lead times and completion tracking.

Registration, make, model, year, VIN, seats, payload, fuel type, insurance and ownership (owned, leased or hired, with start and end dates), plus unavailable dates. Attach a vehicle to a crew booking so you always know who has the van.

MOT, service, tax, insurance renewal or any custom reminder tracked against the vehicle, with recurrence, lead days and a last-completed date so nothing slips through.

Every asset carries a tag ID, serial number, category and subcategory, purchase cost and an assigned owner, with Good, Lost, Broken and Disposed statuses. Searchable in a compact scrollable list when adding kit to a project.

Scan kit onto a project from your phone camera and scan it back in on return. The return tally shows exactly what's still outstanding and can mark it lost in one action, and any scanning session can be saved as a draft and finished later.

Produce a QR label for any asset — or a whole batch at once — sized for standard label stock and previewed before you commit. Send them straight to a label printer, save them as a PDF, or export a file for your existing label software, then scan them back with the app's own scanner.

Move equipment straight from one job to the next without a round trip through the warehouse, keeping a full history of where each asset has been and who moved it.

A dedicated tab for admins and equipment managers covering what's out, what's due back, overdue returns, condition on check-in and outstanding equipment forms.

A sparkle button on every page opens ewpAI. Ask who's free next week, what's booked on a ship, which roles are unfilled, or what a project is costing — answered from live data, not a generic model.

Ask it to book crew, raise travel or pull equipment and it returns a proposal card you review, adjust and approve. Nothing is written to the database until you press Approve & save.

Searches by project name, number, ship, cruise line or location, with multi-word and partial matching, so 'Quantum refit' or a bare project number both land on the right job.

ewpAI runs as you — it can only read and propose what your role already allows, so crew can't see costs and nobody sees a project they aren't on.

Pick the team and channel for a project once and every project page gets an Open in Teams button. The project page can also be pinned as a tab inside that channel, so the plan lives where the conversation is.

Recent channel posts appear on the project's Teams tab and on the Overview dashboard, with author and timestamp, so context sits alongside the schedule instead of in a separate app.

Switch the feed to attachments only for a quick, clickable list of every drawing, rider and rack plan shared about the project.

Create a Teams meeting straight from the project, invite crew and customer contacts by email, and it lands in Microsoft 365 calendars with the join link kept on the project record.

One click from a resource card or the resource list opens a Teams chat with that person — no hunting through the directory.

Each user connects their own Microsoft account once from Settings, so posts, chats and meetings are genuinely from them rather than a shared service identity.

Teams actions carry the Teams mark and brand colour throughout, so it's always obvious what will open where.

Link an ewpResource project to its Access Fonn project once, and the site build lives on the project page — with a link pushed back to Fonn so both teams jump between the two.

Overall build progress percentage from Fonn shows on the project, so planners can see how the installation is tracking without opening another system.

Open issues and checklist status pull through from Fonn, so snags raised on site are visible to the planners scheduling crew and equipment around them.

Drawings and documents shared in Fonn appear in a clickable feed on the project, alongside the Teams attachments feed.

Fonn credentials are stored encrypted and updated by admins from the Integrations tab in Admin Settings — no redeploy when a token rotates.

Each resource links their BrightHR calendar feed once. It's pulled in automatically on a schedule admins control, so holiday appears in ewpResource without anyone re-keying dates.

Holiday, sickness and other absence render alongside bookings on every Gantt view, with reasons where provided, so you can see availability and workload in the same glance.

Double bookings and bookings over absence raise a warning in the header bell and in the dashboard counters — every conflict for admins, owned projects only for planners — with a direct link to the clash.

Confirmed bookings are pushed into people's Microsoft 365 calendars and updated or removed when plans change. Employees get a full integration; freelancers get a simple subscribe-by-URL calendar feed.

Crew who require confirmation receive an invitation they can accept or decline — including from an Adaptive Card in Teams — and the answer writes straight back onto the booking.

Raise a request capturing only what you know — arrive by, depart after, notes — when details aren't settled, or enter a full booking when they are. The form adapts to which you choose and keeps a reference code per project.

Travel planning groups everyone flying from the same airports on the same dates, so a single booking covers the whole team and nobody is accidentally left on their own itinerary.

Flights, trains, ferries, hire cars, transfers, parking and hotels as legs on one journey, each with its own provider, reference, times, location, cost and notes — including intermediate stops on connecting flights.

Searchable worldwide airline list by name or IATA code with popular UK carriers surfaced first, and airport search on every leg so codes and names always match reality.

Passenger details on a flight leg automatically surface each traveller's loyalty number for the airline being booked, ready to paste into the airline's site.

Travel managers and admins get deep links into live flight searches for the requested route and dates, with an indicative price stored against the request for budgeting.

Draft, requested and booked, plus change requests on an existing booking. Travel managers are alerted when a request arrives; project managers and crew are alerted once it's confirmed.

Plane icons mark travel days on the Gantt so nobody is scheduled on site while they're in the air, and a travel dashboard tab gives admins the full picture across every project.

One button walks a crew member through everything they are owed for the month. What it asks for depends on their contract: a retainer invoice for the billing period, an invoice against a particular project, or an overtime form. Nothing to work out, nothing to remember to send.

Cruise overtime is calculated from the days actually booked on ship projects, so it is right without anyone counting back through the diary. Land work is logged by the hour against the project it belongs to, on the day it happened, and both appear on the same submission.

Add travel, accommodation, subsistence, materials or anything else as separate lines, each with its own amount, currency, description and a photo or PDF of the receipt. Nothing can be submitted without proof, so nobody is chased for a missing till slip weeks later.

HR and Accounts sit alongside your existing roles rather than replacing them, so the same person can plan projects and approve pay. Submissions queue for review, can be approved, rejected with a reason or withdrawn by the person who sent them, and everyone is told where theirs stands.

A finance tab showing what has been submitted this month, what is waiting on an approval and what has been claimed in expenses, with the full list of submittals underneath — totals per currency, never squashed together.

Once an expense is approved it rolls into the project's costs alongside crew day rates and fixed fees, so the cost of a job is the whole cost of a job — and it flows through to the reports and CSV exports finance already use.

A dedicated Reports page with four views — Projects, Crew, Travel and Equipment — each previewed on screen before you export anything, so you can see exactly what will be printed.

One toolbar sets the period, the project and the status — active, planned or anything else — and every view follows the same filters, so there is no re-picking your criteria for each report.

Exports come out as clean, paginated PDFs with the ewp logo, the period and filters used, and neatly wrapped tables that stay readable however long the list gets.

The same filtered view downloads as CSV when finance or a client would rather have the numbers in Excel.

Straight from the project window, export a crew list, an equipment list or a travel itinerary as its own PDF, each headed with the project number, ship, customer and dates.

A client-ready PDF of the build: overall progress with charts, every scope of work with its items, per-item progress and dates, issues grouped under the scope they relate to, and a schedule chart of the whole programme on the last page. No third-party branding anywhere on it.

One spreadsheet with everyone on the project as the ship needs it: full name, date and place of birth, nationality, passport number, issuing country and dates, role, cabin number and who they're sharing with. Limited to admins, planners and travel managers because it carries passport details.

Print a crew call sheet for the gangway, hand an equipment manifest to security, or email a travel summary to the customer without rekeying anything.

Per-user control over email and in-app alerts for new bookings, changes, cancellations, clashes, travel requests, passport expiries, equipment returns and sync errors — including digest frequency for reminders.

Every email carries the ewp logo and navy styling with clear buttons — booking invitations include View request alongside accept and decline. You choose the day and time your summary emails arrive, defaulting to Monday mornings.

Give a connected application its own read-only key and choose what it may see — projects, ships, customers and people. It can read that data whenever it needs to, without a login and without ever writing anything back. Keys are created, listed and revoked by admins, and pay, rates, passports and travel documents are never included.

Admins add and rotate API tokens for connected services from the Integrations tab, stored encrypted with no downtime, and sign-up and contact forms are screened by a Cloudflare human check that stays invisible to real users.

Projects, bookings, travel and role changes are recorded with who did what and when, searchable and filterable by entity and date range for admins.

An in-app change log grouped into new features and fixes, a published roadmap with target dates, a known-issues list, and a form for crew to raise bugs or ideas directly.

Row-level security on every table, role-scoped access to personal and financial data, approved sign-ups only, and encrypted storage of connection credentials and resource photos.

Add ewpResource to a phone or tablet home screen and it opens full screen like any other app, with its own icon. Layouts collapse sensibly on a small screen, tab rows swipe across with your thumb instead of being cut off, and the camera scanner is a tap away on the gangway.

The app follows whatever your phone or laptop is set to and switches with it through the day, or you can pin it to light or dark yourself. Text size follows your own scale setting, so it stays readable in a dim rack room or bright daylight.

English, Spanish, French, Romanian, Bulgarian and Serbian, switched from the globe in the header and saved to your profile so the app opens in your language on any device. Project names, notes and anything you type stay exactly as entered.
